What is the difference between editing and proofreading?

Proofreading is the final surface pass: spelling, punctuation, subject–verb agreement, tense slips, key terms capitalised one way here and another way there, spacing, and formatting that drifts between sections. It does not rework your sentences. Copy-editing is the level above: grammar, house style and consistency enforced across the whole document. Line editing goes further still, into the prose itself — unwinding nominalisations, repairing comma splices and dangling modifiers, evening out register, tightening paragraphs that circle before reaching a point. Structural work sits above all three: the order of the argument, whether a section earns its place, whether the thesis statement matches what the essay delivers. What does a line edit actually change in my sentences?

Concrete, sentence-level things. Nominalisations unwound, so "conducted an examination of" becomes "examined". Hedging recalibrated where a verb outruns its evidence — "proves" pulled back to "indicates" when a single study cannot carry the stronger claim. Tense normalised to discipline convention: past for what a study did, present for what a text argues. Comma splices repaired, dangling modifiers re-anchored, and — where you are assessed in US conventions — restrictive "that" kept apart from non-restrictive "which". Then consistency, enforced across the whole document, which is where drafts written across several sittings usually wobble.

How do you check my reference list against APA, MLA or Harvard?

Entry by entry, then against the body text. Every in-text citation is matched to a list entry and every entry to at least one citation, which is how orphans surface. Each entry is then checked against the style's own rules. APA 7th edition wants sentence case for article and book titles, journal title and volume in italics, "et al." in text from three authors upwards, and DOIs as full https://doi.org/ links. MLA 9th edition wants title case, its container model, and "pp." for page ranges in the Works Cited. Harvard is not a single standard — it is a family of author–date variants, so your library's guide is the authority. Will having my essay proofread breach academic integrity rules?

Not if the pass stays on language and you follow your institution's policy. Universities across the UK, Ireland, Australia and Canada publish proofreading or third-party editing policies, and they typically separate permitted work — grammar, spelling, punctuation, formatting, consistency — from changes to content, argument, structure or data. Australian institutions commonly point to the IPEd guidelines for editing theses (2025), which confine an editor to language and consistency rather than substance. Read your own policy before sending anything, note whether a declaration is required, and keep the tracked file as a record of exactly what changed. The sentences that come back are your sentences, corrected.

What do I get back, and how do I review the changes?

Three things in one .docx set: a tracked-changes version, a clean version with changes applied, and a style sheet. Open the tracked file in Word, set the Review tab to All Markup, and walk the edits one at a time — accept or reject each. Nothing is imposed; rejecting restores your original wording exactly. Comment balloons carry anything that is a question rather than a correction: an unsupported claim, a quotation with no page number, a paragraph whose topic sentence promises something the paragraph never delivers. The style sheet lists the decisions taken — spellings, capitalisation, number style, how the referencing variant was read — so a later chapter can be matched without guesswork.

What should I send before an edit starts?

A complete draft rather than notes or an outline. Editing works on finished sentences; a half-built section can only be flagged back to you. The paperwork around the draft matters as much as the text, because most consistency decisions are set by the brief rather than by taste — word limits, referencing variant, and the variety of English you are marked in all change what counts as an error.

No. The argument, the evidence and the conclusions stay as you wrote them. If a claim looks unsupported, or a source is carrying more weight than it can bear, that appears as a comment in the margin for you to decide on — not as a rewritten paragraph or an inserted citation. Adding references would change the substance of an assessed piece, and that is the line a language pass does not cross.

It catches a subset. Automated checkers are dependable on typos and simple agreement, but they do not notice that your methods section switched tense halfway, that "Chapter 3" is capitalised on one page and lowercase on the next, that an in-text citation has no matching reference entry, or that a topic sentence promises an argument the paragraph never makes. Those are document-wide consistency and coherence problems, and they need a reader.

Yes, and longer work brings extra checks. Heading levels have to stay consistent throughout — APA 7th edition defines five of them. Figures and tables need numbering in the order they are first mentioned. Cross-references have to still point at the right thing after edits. Whichever you are assessed in. Name the country and institution, and the draft is held to one convention from start to finish: -ise or -ize endings, single or double quotation marks, whether the serial comma is in use, date format, and how punctuation sits against a closing quotation mark. A draft written over several sittings drifts between conventions almost by default — the spelling you used in October is not the one you reach for in January — and mixed conventions read as carelessness even when the reasoning is sound.

Reject it. Every edit arrives tracked, so rejecting one restores your original wording exactly and nothing is applied invisibly.
