Report Writing Support

What you get with Report Writing Support

A report is not an essay with subheadings bolted on. Its sections do separate jobs, and a reader is entitled to skip straight to the one they need. ANSI/NISO Z39.18-2005 (R2010), Scientific and Technical Reports — Preparation, Presentation, and Preservation, sets out that architecture: front matter, body matter and back matter, with every component marked required, conditional or optional. Much university report guidance in engineering, computing, environmental science and business descends from that pattern, and from the IMRaD shape used across the sciences. AMDEX Scholar Labs works at that structural level. That means explaining what belongs under Methods, Assumptions and Procedures rather than under Results and Discussion, building a worked parallel example on a topic that is not your assessed one, and proofreading a draft you have already written. Lab reports, feasibility studies, business reports and reflective reports each depart from that skeleton in their own way, and those departures are usually where a brief and a downloaded template start to disagree.
  • Guidance built around your own brief and your marking rubric
  • Matched to a specialist who works in your subject area
  • Referencing explained and checked in your institution’s style — APA, MLA, Harvard, Chicago and more
  • Feedback on your drafts while there is still time to act on it
  • Worked examples supplied as labelled models to study and cite, never to submit
  • Human expertise — nothing here is generated by AI

What do you need assistance with?

What sections does a report actually need?

Fewer than most downloadable templates suggest, and in a settled order. Z39.18 marks the title section, abstract and contents as required front matter, while a foreword, preface and acknowledgments are conditional on there being something to say. Clause 5.1.8 makes a list of figures and tables required once a report contains more than five figures or tables, or some combination totalling more than five; below that it is optional. Back matter holds appendices, bibliography, lists of symbols and abbreviations, glossary, index and distribution list. Your module brief overrides all of it; where the brief is silent, this skeleton is a defensible default. Support starts by mapping your brief onto it and flagging which of your sections is quietly doing two jobs.
  • Body order in Z39.18: Summary, Introduction, Methods/Assumptions/Procedures, Results and Discussion, Conclusions, Recommendations, References
  • Required front matter: title section, abstract, contents
  • Conditional front matter: notice section, format information, report documentation section, foreword, preface, acknowledgments

Is an executive summary the same thing as an abstract?

No. In Z39.18 the abstract is a required front matter component and the summary is the opening required component of the body; they differ in purpose, audience and length. The abstract runs to roughly 200 words, states purpose, scope, methods and major findings, and must stand alone: no undefined abbreviations, no citations, no references to figures or tables, because abstracting services republish it detached from the report. The summary restates key points for a decision maker and introduces nothing new. Clause 5.2.1 adds that once a print report exceeds fifty pages a separate executive summary, non-technical and aimed at readers who will not read the whole document, is often prepared; clause 5.1.6 says such a summary should not exceed ten pages, depending on report length. Both are drafted last.

Where do findings end and conclusions begin?

Results present what the methods produced. Discussion states the degree of accuracy and the significance of those results, and Z39.18 is blunt that discussion accounts for results rather than interpreting them. Conclusions interpret findings already substantiated in that discussion, introduce no new material, may carry your own judgement, and are written to be read independently of the body. Recommendations propose a course of action based on both, set out as a numbered or bulleted list under an informative lead-in sentence. The standard even offers alternative headings depending on what you are doing: Conclusions for deductions independent of the specific conditions, Restatement of Results for factual findings, Concluding Remarks where opinion is included.

Do figure and table captions go above or below?

It depends on the convention your department follows, and the two mainstream ones genuinely conflict. Z39.18 puts a table's number and title above the data and a figure's number and caption below the image. APA 7th edition puts a bold number, then an italic title in title case, above both tables and figures, with notes underneath. Pick one and hold it front to back. Z39.18 also asks for separate Arabic sequences for figures and tables, numbering that restarts in each appendix (Figure A1, A2, then B1), placement near but never before the first mention in text, and figure and table footnotes marked with superscript lowercase letters from 'a'. Caption style tends to travel with citation style — see how the main styles differ.

What belongs in an appendix rather than the body?

Supporting detail that is not needed to understand the results. Z39.18 keeps the specific values used to substantiate a conclusion in the body, and moves raw data tables, full questionnaire instruments, extended derivations, code listings and calibration records to the back. One rule catches most students out: every appendix must be referred to somewhere in the text, or it has no context and the reader cannot tell why it exists. If your body is overweight, the fix is usually relocation rather than deletion — the same discipline that governs technical writing, where the reader is assumed to be skimming for a decision.

Can you check a report I have already drafted?

Yes, and that is the bulk of the work here. You send your draft, your brief and your marking criteria, and you get back a structural read: which section is carrying content that belongs elsewhere, whether your recommendations actually follow from your conclusions, whether every figure is called out in the text, whether numbering and captions hold consistently from cover to appendix. Language work runs as proofreading — register, tense in the methods section, hedging in the discussion. Any parallel example is built on a different data set or case, so its Results and Discussion cannot be lifted into yours. Send the brief, the draft and the marking criteria, and we will map the sections.

Report Writing Support: common questions

ANSI/NISO Z39.18-2005 (R2010) says an executive summary should not exceed ten pages, depending on the length of the report, and that a separate one is often prepared once a print report exceeds fifty pages. Appendix D, an informative set of sample organisational formats, sizes one at approximately 10% of the body and another at three to fifteen pages. Your module brief takes precedence, so check whether it counts towards your word limit.

Z39.18 requires one when a report contains more than five figures or tables, or some combination totalling more than five; below that it is optional. A list of figures precedes a list of tables, and entries are worded, spelled, numbered and punctuated exactly as they appear in the report. Where one type is sparse, the two can be merged into a single Figures and Tables list, figures first.

Yes. Z39.18 allows results and their discussion to appear in the same section or in separate ones, and the choice usually follows discipline convention: science lab reports commonly split them, while shorter engineering and business reports combine them. Split them once the discussion is long enough that a reader would lose track of which finding is under discussion at any point.

Around a named model, stated up front. Gibbs' Reflective Cycle (1988) runs Description, Feelings, Evaluation, Analysis, Conclusion and Action plan, and many nursing, education and management modules expect those six stages as visible headings. A reflective report still needs evidence and referencing; the reflective voice changes the grammar and the use of first person, not the academic standard applied to your sources.

No. What is offered is a section-by-section map of your brief onto the Z39.18 skeleton, a check that every figure and table is mentioned in the text, caption and numbering consistency from cover to appendix, and proofreading of your methods and discussion. Reference documents are labelled as reference material and are meant to be read next to your brief. If your institution requires a declaration of assistance received, follow it in full — nobody here will ask you to leave anything out of it.
